June 24, 1997 REVENUE MEMORANDUM ORDER NO. 36-97 TO : All Concerned Offices SUBJECT : Guidelines for the Office Automation Implementation in the Information Systems Group (NO, RDC-Manila & RDC Visayas) and Other Selected Offices The following guidelines are hereby issued for the implementation of the Office Automation Facility (OAF) in the Information Systems Group (ISG): NO, RDC-Manila including pilot RDOs 30/32/33/52) and RR13, RDC-Visayas (including RD081) The OAF comprise a set of tools available for all types of network users. These tools can enhance quality of work, improve productivity and the timeliness of reporting at all levels. It is also another mechanism for exchange of information. Proper use of these tools will help identified Bureau personnel in accomplishing their tasks efficiently and effectively. With the OAF, the users will be able to: send and receive electronic mail share files and other computer resources send/receive fax; from their desk search and access electronically stored documents The OAF will be made available, in phases, throughout the Bureau nationwide. The first offices to pilot these offices were those under the ISG, National Office. The second offices covered additional groups in NO, RDC-Manila, RR6 and pilot RDOs. The third of offices now covers RDC Visayas, RR13 including RDO81. General Guidelines : 1. The OAF implementation will have for its Roll Out Schedule the following details: 1.1 Verify LAN-WAN Connections for June 18-24, 1997 NO/RDC/RDOs; Configure Local Post Office & Create Mailboxes; Conduct Functional (Domain/Cross-Domain) & Users' Tests 1.2 User Orientation/Training on E-Mail and June 26-27, 1997 Briefing on RMO, E-Mail Kit & Others 1.3 Launch E-MAIL WEEK for 1.3.1 RDC, RR, RDOs Visayas Area June 30, 1997 a) RDC-Visayas Identified Users b) RR13 Selected Offices c) RDO 81 Identified Users BIR OFFICE AUTOMATION PROJECT THE E-MAIL KIT version 1.02; 27 June 1997 The Office Automation Facility (OAF) is now being made available to ISG and selected office network users of the Bureau. From May to August 1997, the major activities are focused in pilot Revenue Data Centers (RDCs) Manila, Cebu City and Quezon City, and pilot Revenue District Offices (RDOs) within the said RDCs. All hardware, software and connectivity requirements for Electronic Mail (E-mail) with file attachments for the participating pilot offices will be checked/verified and tested functionally by the technical members of the Office Automation Project Core Team (OAPCT). Additional groups in the National Office (NO) and RR Offices covering the pilot RDOs, will also be included in the implementation schedule for domain and inter-domain OA activities. For RDC- Manila and identified participating offices (see RMO details), an E-Mail Week is set on: June 30 RDC-Visayas, RR13, RDO81; and July 1-4 National Office, RDC-Manila and RDC Visayas participating offices. For this purpose, attached is a E-Mail Kit which will serve as a guide to all identified users (with given Post Office accounts/mailbox names) of participating offices. The E-Mail Kit consists of the following: 1. E-Mail Scripts Reference 01 2. MS Exchange Quick Guide Reference 02 3. MS Exchange Overview Reference 03 4. Mail/Exchange Post Office Directory Reference 04 (for all participating offices) All identified users are expected to review and use the E-Mail Kit, particularly #s 2 & 3; and conduct inter-office exercises in preparation for the E-Mail Week. For increased individual familiarization, please make full use of the Kit and the Help feature of MS Exchange. If you need further assistance, please consult your local Help Desk. We appreciate your utmost cooperation in this endeavor and welcome to the second E-Mail event of the Bureau! All identified users in participating offices are expected to join and cooperate in the OA exercises as scheduled and provided by the OA Project Core Team. 3. After the launch, participating offices are expected to transmit all reports and communications through the OAF. 4. Members of the OA Project Core Team will prepare and enhance the technical environment required to enable the OAF from May to Launch Week and thereafter. 5.
