December 2, 2000 REVENUE MEMORANDUM ORDER NO. 01-01 SUBJECT : Procedures on Remote Printing of 1209 Reports at the Computerized Revenue District Offices (RDOs), Regional Offices (ROs) and Revenue Accounting Division (RAD) TO : All RDC Heads, Revenue Officials, Employees and Others Concerned I. BACKGROUND At present, generation and printing of 1209 Report is responsibility of the Revenue Data Centers (RDCs). This report is manually forwarded to the concerned Revenue District Offices (RDOs) and offices which contributes delay on the submission of said report. To prevent this, printing of 1209 shall now be carried out by Collection Section of computerized RDOs, Collection Division of computerized Regional Offices (ROs) and Revenue Accounting Division (RAD). THIcCA II. OBJECTIVES This Order is issued to: 1. Prescribe policies and procedures in remote printing of 1209 reports at the computerized RDOs and other offices stated above; 2. Facilitate resolution of errors/problems encountered in printing 1209 and ensure timely delivery of the reports to respective recipients; and 3. Define roles and responsibilities of the offices concerned. III. POLICIES 1. The generation of ITS 1209 report shall be done at RDC every 5th of the following month while printing of the said report shall be carried out by Collection Section of computerized RDOs, Collection Division of computerized ROs, and RAD on the 6th day of the following month. 2. Systems Maintenance & Support Division (SMSD) of Information Systems Development Service (ISDS) shall create a program "separate menu driven" for use of RDOs, ROs and RAD in printing 1209 report. 3. Security and Management Division (SMD) of Information Planning & Quality Service (IPQS) shall issue an access privilege to the section chiefs from RAD and Collection Section of RDOs & Chief of Collection Division from ROs in printing the said report. 4. Printing of 1209 Report by the concerned RDOs can de done thru Remote 1209 Printing Procedure. III. PROCEDURES The following procedures shall be observed in printing 1209 report: The Collection Section of computerized RDOs shall : 1. View/Print 1209 report every 6th day of the following month or after the 1209 has been generated. In case when the lines are down for a long time inform the concerned RDC to print the said report; aEIcHA 2. Notify RDC of any problems/errors encountered in printing thru any form of communication (telephone or help desk). The Collection Division of Regional Office shall : 1. View/Print 1209 report every 6th day of the following month or after the 1209 has been generated in duplicate copies and transmit one copy to the office of Regional Director and one copy for their file. 2. Notify RDC of any problems/errors encountered in printing thru any form of communication (telephone or help desk). The concerned RDC shall : 1. Generate 1209 report every 5th day of the following month. In case when the lines for remote printing are down print the said report in the 6th day of the following month and transmit to concerned RDOs & offices; and 2. Assist and resolve problems/errors encountered by RDO and other offices concerned in printing 1209 reports. The Revenue Accounting Division (RAD) shall : 1. View/Print the 1209 reports every 6th of the following month or after the 1209 has been generated; 2. Consolidate the 1209 reports; 3. Notify RDC of any problems/errors encountered in printing thru any form of communication (telephone or help desk); and 4. Prepare consolidated report and distribute copies to concerned offices pursuant to RMO No. 9-95. IV. EFFECTIVITY This Order takes effect on the January 1209 report to be run February 5, 2001. (SGD.)
